Lead Event Coordinator

Job Type: Part-time

Job Location: Houston, TX

Job Summary:

We are seeking an experienced and highly motivated Lead Event Coordinator to lead the planning, coordination, and execution of a variety of events, including conferences, seminars, and retreats. The Lead Event Coordinator will work closely with clients, vendors, and other members of the team to ensure that events are executed seamlessly and exceed expectations. Reports directly to the CEO.

 

Responsibilities:

  • Plan, coordinate, and execute events from start to finish

  • Communicate with clients to understand their event requirements and ensure their expectations are met

  • Research and negotiate with vendors to secure services and equipment within budget

  • Manage event budgets, including tracking expenses and creating financial reports

  • Manage event logistics, including venue selection, décor, catering, audio/visual equipment, and transportation

  • Oversee event marketing and promotion, including social media, email campaigns, and advertising

  • Supervise event staff, including volunteers and contractors, to ensure a smooth event operation

  • Handle any issues or emergencies that arise during events

  • Provide exceptional customer service to clients, vendors, and attendees

  • Follow up with clients after events to gather feedback and assess satisfaction

 

Requirements:

  • Bachelor's degree in Event Planning, Hospitality Management, or a related field

  • 3-5 years of experience in event planning or a related field

  • Proven track record of planning and executing successful events

  • Strong organizational and time management skills

  • Excellent communication and interpersonal skills

  • Ability to work well under pressure and meet tight deadlines

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

  • Knowledge of event planning software (e.g. Cvent, Eventbrite) is a plus

  • Availability to work evenings and weekends, as needed

Event Assistant

Job Type: Part-time

Job Location: Houston, TX

Job Summary:
We are seeking an enthusiastic and dedicated Event Assistant to join our team. The successful candidate will be responsible for assisting with the planning, coordination, and execution of a variety of events for our clients, including conferences, seminars, and retreats. The Event Assistant will work closely with the Lead Event Coordinator and other members of the team to ensure that events are executed seamlessly. Reports directly to the Lead Event Coordinator.

Responsibilities:

  • Assist with the planning, coordination, and execution of events

  • Communicate with vendors, clients, and attendees to ensure smooth event operations

  • Assist with event setup and breakdown, including but not limited to: venue setup, décor, catering, and audio/visual equipment

  • Coordinate event logistics, including registration, accommodations, transportation, and scheduling

  • Assist with event marketing and promotion, including social media, email campaigns, and advertising

  • Provide excellent customer service to clients, vendors, and attendees

  • Support the Lead Event Coordinator with administrative tasks, including budget management, record-keeping, and reporting

Requirements:

  • High school diploma or equivalent (Associate's or Bachelor's degree in Event Planning or related field preferred)

  • 1-2 years of experience in event planning, hospitality, or related field

  • Strong organizational and time management skills

  • Excellent communication and interpersonal skills

  • Ability to work well under pressure and meet tight deadlines

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

  • Knowledge of event planning software (e.g. Cvent, Eventbrite) is a plus
